Privacy Policy
How we collect, use, share and protect your personal information when you use our website and our study abroad services, and the rights you have over it.
Last updated: 28 October 2026
Negxy Concept Limited (“Negxy”, “we”, “us”) is an international education agency. We help students apply to universities and colleges abroad and prepare their visa applications. This policy explains what we do with the personal information of students, parents and guardians, job applicants, referrers and anyone else who uses our website or contacts us.
We follow the Nigeria Data Protection Act 2023, Ghana's Data Protection Act 2012 (Act 843) and, where we handle information about people in the UK or work with UK institutions, the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are and how to contact us
Negxy Concept Limited decides how and why your personal information is used (we are the “data controller”).
- Head office: 1D Agbareh Close, off Bamishile Street, Allen Avenue, Ikeja, Lagos, Nigeria
- Email: enquiry@negxylimited.com (please put “Data protection” in the subject line)
- Phone / WhatsApp: 0809 612 0085
- Other offices: Abuja, Port Harcourt, Accra (Ghana) and Calgary (Canada). Addresses are on our Contact page.
Our data protection contact handles all questions and requests about your personal information. You can reach them using the details above.
2. The information we collect
We only ask for what we need for the service you want from us.
- Contact details: your name, phone or WhatsApp number, email address and preferred office.
- Study plans: the country, course, level and intake you are interested in, your budget and how you plan to fund your studies.
- Education and eligibility: your qualifications and grades, English test results, whether you have a passport, and any previous visa refusals. You give us these in our eligibility check or when you speak to an adviser.
- Application documents: if you become a client, the documents universities and visa authorities ask for, such as transcripts and certificates, your passport, CV, personal statement, reference letters and financial or sponsorship documents.
- Sensitive information: we only collect information such as health details (for example a tuberculosis test certificate) when a university or visa application requires it, and only with your explicit consent.
- Job applications: your CV, LinkedIn profile, the role and office you are interested in, and anything you tell us about yourself.
- Referrals: if you join Refer & Earn, your details and the name and contact details of the person you refer.
- Marketing preferences: whether you have signed up to our newsletter, event updates or Telegram community.
- Website use: the page you came from, campaign tags (for example from an advert) and, if you accept them, analytics cookies (see section 10).
3. Where your information comes from
Most of it comes directly from you, through our website forms, by phone, WhatsApp, email, social media or in person at our offices and events. We may also receive information about you from:
- Someone who refers you to us through Refer & Earn: your name and contact details. We will tell you who referred you when we first contact you.
- A parent, guardian or sponsor who contacts us on your behalf.
- Universities and colleges you apply to: updates on your application, offers and conditions.
- Event partners such as universities at a fair you register for.
You do not have to give us your information because of any law. But if you choose not to, we may not be able to give you advice or submit applications for you, because universities and visa authorities require it.
4. How we use your information and our lawful basis
Data protection law says we must have a valid reason, called a “lawful basis”, for each way we use your information.
| What we do | Lawful basis |
|---|---|
| Answer your enquiry, check your eligibility and give you study abroad advice | Steps you ask us to take before entering into a contract |
| Prepare and submit your university applications, help with your visa application and support you until you travel | Contract (our agreement to provide the service to you) |
| Health or other sensitive information needed for an application | Your explicit consent |
| Send you our newsletter, event invitations, intake updates and tuition discount offers, and add you to our Telegram community | Your consent, which you can withdraw at any time |
| Contact a person you were referred by, and pay referral rewards | Legitimate interests (running our referral programme) |
| Consider your job application and contact you about roles | Steps before entering into a contract, and legitimate interests (recruiting staff) |
| Understand how our website is used and measure our adverts | Your consent for analytics and advertising cookies |
| Keep business and financial records, prevent fraud and handle complaints or legal claims | Legal obligation and legitimate interests |
Where we rely on legitimate interests, we have considered your interests and rights and believe our use is what you would reasonably expect. You can object at any time (see section 12).
5. Students under 18
Many students start planning their studies abroad while they are still at secondary school, so some of the people we help are under 18. We take extra care with their information.
- A parent or guardian takes part. If you are under 18, please ask your parent or legal guardian before you fill in our forms. Before we start an application for a student under 18, we ask a parent or legal guardian to confirm their consent, and we may record their name and contact details.
- Only what is needed. We collect only the information the university, college or visa application requires, and use it only to provide our service.
- No marketing without consent. We do not send newsletters, offers or Telegram invitations to students under 18 unless their parent or guardian agrees.
- Extra documents. Universities and visa authorities sometimes need extra documents for under-18s, such as a parental consent letter or details of care arrangements. We collect and share these only for that application.
- Parents' and guardians' rights. A parent or guardian can use the rights in section 12 on behalf of a student under 18. Once the student turns 18, they manage their own information.
- If we find out. If we learn that we hold information about a student under 18 without a parent's or guardian's consent where it is needed, we will ask for that consent or delete the information.
6. Who we share your information with
We never sell your personal information. We share it only when needed:
- Universities, colleges and pathway providers you choose to apply to, and the application platforms and partner groups they use (for example Global University Systems, Oxford International Education Group or ONCAMPUS).
- Visa and immigration authorities and their application centres, when you ask us to help with your visa application.
- Our offices in Nigeria, Ghana and Canada, so the right adviser can support you.
- Service providers who work for us under contract: website hosting, email, Google Tag Manager and Google Analytics, and messaging services (WhatsApp and Telegram) when you contact us through them.
- Professional advisers such as lawyers and auditors, and authorities where the law requires us to share information.
7. International transfers
Because we help you study abroad, your information is sent to the countries you apply to, such as the UK, Ireland, Canada, the USA, Europe and Australia. These transfers are necessary to perform the service you have asked for. Some of our service providers store data outside Nigeria, Ghana or the UK. Where they do, we use providers with appropriate safeguards, such as standard contractual clauses or an adequacy decision.
8. How long we keep your information
- Enquiries and eligibility checks that do not lead to an application: up to 2 years after we last hear from you.
- Client records and application documents: 6 years after our service ends, so we can answer questions from universities, handle complaints and meet legal and tax requirements.
- Job applications and CVs: up to 12 months, unless you join our team.
- Newsletter and marketing lists: until you unsubscribe or ask us to remove you.
- Analytics data: up to 14 months.
When we no longer need information, we delete it or destroy it securely.
9. Keeping your information safe
Only staff who need your information can access it. Our website uses an encrypted connection (HTTPS), form entries are stored in a password-protected system, and uploaded CVs are kept in a private area that cannot be opened from the internet. Our staff are trained to handle personal information carefully. If a data breach is likely to put you at risk, we will tell you and the relevant regulator as the law requires.
10. Cookies and analytics
Cookies are small files saved on your device. We use Google Tag Manager to load Google Analytics, which tells us which pages are visited and how people find our website, and to measure our adverts. These cookies are not essential, and we only use them with your consent. Our website also keeps a few temporary settings in your browser while you visit, for example your answers to the eligibility check so you do not lose them, and whether you have closed the Refer & Earn pop-up. These are deleted when you close your browser. YouTube videos on our site load only after you press play and use YouTube's privacy-enhanced mode.
You can block or delete cookies in your browser settings at any time.
11. Automated results
Our online eligibility check and cost calculator give you an instant, automatic estimate based on your answers. These are guides only. They do not make decisions about you, and an adviser reviews your situation before any application. Admission decisions are made only by universities, and visa decisions only by the relevant immigration authority.
12. Your rights
You have the right to:
- Access: ask for a copy of the personal information we hold about you.
- Rectification: ask us to correct information that is wrong or incomplete.
- Erasure: ask us to delete your information in certain circumstances.
- Restriction: ask us to limit how we use your information in certain circumstances.
- Objection: object to us using your information on the basis of legitimate interests, and to direct marketing at any time.
- Portability: ask us to transfer information you gave us to you or another organisation, in certain circumstances.
- Withdraw consent: where we rely on your consent, withdraw it at any time. Use the unsubscribe link in our emails, leave the Telegram community, or contact us. This does not affect what we did before you withdrew it.
You do not usually have to pay to use your rights. We will reply within one month. To make a request, contact us using the details in section 1. We may ask you to confirm your identity first.
13. How to complain
If you are unhappy with how we have used your information, please contact us first and we will try to put it right. You can also read our Feedback & Complaints.
You also have the right to complain to a data protection regulator:
- Nigeria: Nigeria Data Protection Commission, ndpc.gov.ng
- Ghana: Data Protection Commission, dataprotection.org.gh
- United Kingdom: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. Helpline: 0303 123 1113. Website: ico.org.uk/make-a-complaint
14. Changes to this policy
We review this policy regularly. If we make important changes, we will update the date at the top of this page and, where appropriate, tell you directly.
